BASIC FUNCTION:

To manage the day-to-day administration of a varied portfolio of more complex corporate structures holding Real Estate assets and to maintain a wide and detailed knowledge and understanding of corporate administration generally, to include money laundering, compliance and relevant legislation.

This is a senior position requiring the post holder to work autonomously, whenever necessary, with the ability and desire to support and collaborate with the team and senior employees to ensure that workload is completed accurately, effectively and efficiently.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Deal with the day-to-day administration of a varied and complex portfolio of Real Estate structures remaining aware of risk exposure to both the client and the Estera group.
  • Ensure absolute compliance with KYC procedures and maintain and document a detailed knowledge and understanding of each client’s business.
  • Seek to provide innovative and practical answers to client queries, being alert to time sensitivities, commercial concerns, risk, and technical accuracy.
  • Review, manage and oversee the administration of clients undertaken by junior staff members within the team and become the client contact for more technical enquiries, reporting as required to the Team Leader.
  • Maintain and share within the team a wide knowledge and understanding of: the UK real estate market and lending, and; company/ trust administration generally, to include money laundering, compliance and relevant legislation.
  • Be an ambassador for integrity and the highest standards of corporate governance and attention to detail.
  • Ensure that team workloads are completed to the highest possible standards, within the agreed timescales and that the objectives of the group are fulfilled.
  • Assist in guiding and motivating junior staff members in the team to ensure their workloads are undertaken professionally and without risk to the firm or clients. This includes training guidance, career development and the maximisation of potential where applicable.
  • Effective management of the team and analysis of their resulting performance including revenue and collection, budget forecasts and variance to budget.
  • Be alert to new business opportunities and to maintain a broad general knowledge of issues affecting the offshore industry, and be able to apply this knowledge in developing new and existing business.
  • Pro-active development of existing and new client and intermediary opportunities;
  • Attend to new business enquiries within an acceptable timeframe and accurately price the same;
  • Input into the development of the service line marketing materials;
  • Develop close working relationships with relevant clients, intermediaries, and contacts within the Estera group, and to strengthen key relationships through regular contact.
  • Attend marketing events and seminars organised by intermediaries and Estera, whenever appropriate and possible.
  • Support Estera’s strategy, demonstrating the ability to generate and implement innovative operational ideas, and constructively challenge the status quo in looking for operational efficiencies.
  • Represent Estera and demonstrate our vision and core values.
  • Act as an authorised signatory in accordance with policies and procedures.
  • And any other such duties that might be reasonably required for the role.

KNOWLEDGE, SKILLS AND EXPERIENCE REQUIRED:

  • A relevant professional qualification (e.g. ACCA, ICSA, CIB, STEP).
  • Proficient and up to date IT skills in Outlook, Excel, and Word. Ideally also with experience in Worksite and Viewpoint.
  • An enhanced level of technical knowledge and applied experience, to include more complex areas of trust and company administration, real estate asset management with lending, accounting and commercial law, legislation and regulation. 
  • Advanced organisational and client management skills, together with a good working knowledge of current trust/company legislation, and the local regulatory environment.  This includes a high level of awareness of risk factors and compliance procedures.
  • Professional manner with the ability to relate to persons at all levels, and to identify clients’ needs, responding to these quickly and effectively.
  • Supervisory and mentoring experience to include high level of integrity.
  • Excellent interpersonal and communication skills.
  • Be approachable and accessible to the juniors on the team, offering guidance, development and motivation as and when required.
  • Exceptional time management skills with ability to multi task, work under pressure and work together as a team to ensure deadlines are met.
  • A strong appreciation of the importance of financial management issues and ability to monitor analysis and report to Team Leader on the same.
  • Strong awareness of marketing opportunities.
